Job Description: Operations Manager
– Gift Store Relief
Front counter relief, when needed
Collect admission monies
Track attendance with guest book
Run theater / troubleshoot flight simulator
Monitor memberships / sell memberships / apply discounts
Manage school groups, cub/girl scout groups, assisted living groups, large tour bus groups, etc.
Yearly inventory
Conduct gift store sales
Re-stocking gift store inventory
Pricing and shelving inventory
Maintaining gift store cleanliness
Manage in-coming and out-going mail
– Telephone
Check voicemail, answer multi-line, transfer calls, take and deliver messages
Make follow up calls for messages pertaining to general museum information
Schedule school/cub scout/assisted living group tours
Take payment for rentals, memberships and/or museum event tickets
– Rentals/Events
Facilitate rental bookings
Take phone calls / answer detailed questions
Give facility tours for rentals
Book facility rentals
Set-up and take-down of tables, chairs, etc…
Assisting renters with miscellaneous
– Errands
Maintain inventory of paper / office supplies
Maintain inventory of bathroom products / cleaning supplies
Bank deposits and change runs
Sales and Marketing errands as needed
– General Office/Facility Maintenance
Maintain Xerox machine, cash register, office computers & telephones
Maintain inventory of printer supplies
Painting when needed
Gardening / Flowers / Landscaping
Emptying garbage and cleaning
Filing of all personnel and accounting paperwork
– Donations
Collect material and cash donations
Maintain proper paperwork / info from donor
Distribute thank you letters and donation receipts
Manage donations
Create written materials and mailings for donor solicitations
Provide coordination for all external museum publications
– Memberships
Manage membership list
Compose / design / distribute membership letters and cards
Solicitation for additional memberships
Develop and compose mailings/announcements/invites for members
– Facebook Page / Website Store Sales
Posting of museum events and photos to Facebook
Processing purchasing made thru web-store via PayPal
Completing orders from web-store
– Quarterly Newsletter
Format and design newsletter
Write articles
Design advertising for newsletter
Prepare newsletters for mailing and distribution
– Executive Director Assistance
Design advertising / marketing pieces and office materials
Ads for publication
Event fliers, programs, ticket stock, signage, etc.
Coupons
Postcards
Calendars
Time Sheets
Cash register envelopes
Gift Certificates
Invitations
Tickets – Raffle & Event Tickets
Assist in managing museum events / fundraisers
Design of programs and invitations
Compiling mailing lists
Assist in Catering
Set-up / take-down
Assist in managing silent/live auctions
Solicitation/collection of auction items
Design and printing of silent auction bid-sheets
Managing silent auction check-out
Managing thank you letters/receipts for auction items
Register guests / bartend as needed
– Exhibits / Research
Assist in maintaining current exhibits
Assist general public with historical questions and questions regarding museum collection
Assist with general management of archives
– Accounting
Reconcile settlement reports with bank statements
Reconcile credit card receipts with credit card statements/bills
Process all payables
Enter bills in Quickbooks
Manage due dates
Print checks and prepare bills for mailing
Process all receivables
Process deposits from daily cash envelopes
Deposit cash and checks into museum operating account
Reconcile credit card purchases with settlement reports
Enter deposits as invoices in QuickBooks
Receive Payments in QuickBooks
Record Deposits in QuickBooks
Track direct deposits from tour groups and advertising deals
Track money transfers from various bank accounts
Work closely with Board Treasurer’s office
Supply Board Treasurer with monthly statements
Log Treasurer into system via remote access
– Other miscellaneous duties as needed
